Tax Time is Fax Time With March Maddness



The 2011 tax season is in a full court press and you’re likely scrambling to get and receive last minute faxes from your accountants. There is no easier way to fax your scanned documents to your accountant then to use an email fax service. It is as simpe as 1 2 3:

  1. Scan the document using Microsoft’s Fax and Scan app (pass the ball down the side)
  2. Save it as a TIFF or JPG file (dribble to the 3 point line)

How to send a Fax from Microsoft Office



Once you’re set up it is easy to send Faxes directly from Microsoft Office 2003 and 2007.  After you sign up for an Internet Fax service you can create a document in any Office application then:

  • Click on File
  • Click on Send to
  • Click on Recipient using Internet Fax service

It will most likely prompt you to first choose a fax service. You will then need to pick a service. Click to see recommendations

Next you will need to do the following:

  • Pick an Internet Fax Provider (more on what to look for later in this article)
  • Sign up for an Internet Fax provider
  • Download an ActiveX control to allow you to Fax from MS Office
  • Go back to MS Office and Fax your document!

The Junk Fax law of 2005 both helps and hurts the efforts to keep these junk faxes from reaching your fax machine.  The law broadly defines junk fax as unsolicited advertisement sent to a person or business without permission.

It also adds a section that allows businesses to send faxes to folks they have a “established business relationship” or EBR.  So if you do business with someone who you voluntarily give your fax number too say, on your business card or filling out an online form, they can send you faxes

That said the business must give you an “easy” way to opt out of receiving future faxes. The fax must contain a “cost free mechanism” for the recipient to opt-out and the ability opt-out at “any time on any day of the week”. The new law allows for anyone who receives an illegal junk fax to sue for $500 – $1500 either by class action or small claims court.

How to Fax from Your Cell Phone



Can I send a fax from my cell phone? This is a question I get allot. The answer is yes if you have an Internet fax account and you can send an email from your mobile phone. Of course unless you have a document already in you phone you’ll only be able to send a text fax but many of today’s phones have the ability to receive and store attachments. Here is a scenario where you might use your cell phone to send a fax.

Your client sends you an email with a document  you need to fax to several of your offices for a response.  To fax it from your phone you would only need to

  • Open your phones email client (or a web based email client if you can surf the web with your phone)
  • Attach the document to the email.
  • Enter you cover page info as the body of hte email
  • Send the email to FaxNumber@yourfaxprovider.com This e-mail address is being protected from spam bots, you need JavaScript enabled to view it (example 18884546688@ringcentral.comThis e-mail address is being protected from spam bots, you need JavaScript enabled to view it )

That’s it. Your fax is on its way. In the example above RingCenteral would turn your email and attachment into a fax document and deliver it to the fax number you typed in. In fact it could deliver it to many fax numbers at the same time. It will automatically redial if the fax is busy until it gets through and it will let you confirm the delivery. Very cool.

Automate Faxing your Resume for Free



Schools out and it’s time to start looking for a job. Or maybe you’re one of the unfortunate unemployed caught up in our economic downturn. I feel your pain, I’ve been there. Here are two suggestions that I’ve used and know for a fact get results.

Fax your resume to your potential Employer.

These days no one looks at resumes that are sent in via the US Mail. Most companies won’t even look at them unless you go to the site and input your resume into their system.  Great, but you’ll be there with 2,000 other folks hunting for a job.  Here is a step by step plan.

1.     Prepare a GOOD resume. Highlight your RESULTS with quantifiable numbers up front. You have 30 -45 seconds to get the hiring managers attention. Really, that’s all. Then list the companies you worked for. Remember, companies only care what you can DO for them,  and they can only tell from past results

2.       Put your resume into their online system

3.       Find out where their corporate headquarters is and get the fax number. You local library will be a help for this part.

4.       Call and ask for the fax number for the department you want to work in. You’ll be surprised how often you’ll get this.

5.       Fax your resume with a “to the point” cover letter again telling the employer how you will solve the PROBLEMS you believe THEY face.

6.       Follow up with a phone call telling everyone you’re following up on the fax you sent.

The fact of the matter is everyone will delete an email but few people will toss a piece of paper and fewer will toss a Fax.  This will work but you need to only send to companies you KNOW something about the problems they face. You also need to do this on a consistent basis.  Repetition and persistence will pay off.
